The Challenge

A UK policing organisation relied on senior technical staff with decades of knowledge of legacy systems and infrastructure. As experienced employees approached retirement, there was no structured process to capture that expertise, creating a significant risk to operational continuity and future support.

The organisation needed to preserve critical technical knowledge, reduce reliance on individual specialists and equip the next generation of staff to manage and support key systems with confidence.

Our Approach

We started with the people who held the critical knowledge. Structured interviews captured design decisions, support routines, configuration knowledge and the operational judgement that was otherwise held informally by senior technical staff.

That material was organised into a central SharePoint repository. In parallel, we assessed capability across system administration, development and infrastructure, then shaped an internal training academy around the gaps the next team would need to close.

What We Delivered

The output was a signed-off knowledge transfer pack covering design and build documentation, configuration guides, test results and supporting material in SharePoint. The work also included a skills gap analysis, the academy structure and content, and a targeted training programme aligned to future support needs.

By the end of the assignment, the client had a single place for critical system knowledge and a practical route for developing the staff who would inherit it.

Outcomes and Impact

Capturing decades of operational knowledge reduced the client's reliance on individual specialists before key staff retired. The new knowledge repository and training academy helped transfer expertise across the wider team, improving confidence in supporting critical systems and protecting service continuity throughout the workforce transition.

The training academy remains in place, providing an ongoing framework for developing future capability.
